  • AI Case Summaries help you quickly understand the most important details of a case without having to manually review every tab. Using AI, you can generate a concise summary of case information, choose which data sources to include, and refine the results to meet your needs.

    Enabling AI Case Summaries

    To enable AI Case Summaries, navigate to:

    Settings > Agency Settings > Personal. Then toggle AI Summary on.


     

    Displaying the AI Summary Tile

    To display the AI Summary section within a case:

    1. Open any case record's summary tab.
    2. Click Select Tiles.
    3. Select AI Summary.


       

    The AI Summary tile will now appear on the Summary page.

    Generating a Summary

    To generate a new summary:

    1. Open the AI Summary tile.
    2. Click Add Summary.
    3. In the modal window, select the data sources you would like AI to use when generating the summary.

    Available context sources include:

    • Contact Information
    • Benefits
    • Tasks and Notes
    • Dependents
    • Files (file names only)
    • Commissions
    • Calls
    • NextMail (Emails)
    • NextText (Texts)
    • Sales

    You can use the Select All or Deselect All options to quickly manage your selections.

    By default, AI uses information from the past year when generating a summary. You can adjust the timeframe to include more or less historical data as needed.

    Once your selections are complete, click Create to generate the summary.

    Editing and Refining a Summary

    After a summary has been created, the Add Summary button changes to Edit Summary.

    Click Edit Summary to reopen the AI Summary modal and access additional options.

    Within the modal, you can:

    • Regenerate the summary
    • Refine the existing summary
    • Copy the summary to your clipboard
    • Accept a newly generated version
    • Cancel changes

    Refine Options

    The Refine dropdown provides the following options:

    Summarize

    Creates a more concise version of the summary while retaining the key points.

    Shorten Summary

    Reduces the overall length of the summary while preserving important information.

    More Details

    Expands the summary by including additional context and details.

    Please note that tone adjustment options are not available for AI Case Summaries.

    Accepting Changes

    When a summary is regenerated or refined, AI generates a new version for review.

    You can then choose to:

    • Accept the new version to save it
    • Copy the content to your clipboard
    • Cancel to discard the changes

    The previously accepted summary remains available until a new version is accepted.

    Please Note: AI can make mistakes. We recommend reviewing all generated summaries and verifying important details before using them for decision-making or client communications.

  • AI Assist: Editing Text in Emails, Tasks, Notes and Tickets

    When you draft an email or create a task, note, or ticket, NextAgency presents you with a text editor. That editor includes AI Assist to help you polish your text. You can select:

    • Proof to review the text for spelling and grammar errors
    • Improve Writing to revise  your text
    • Shorten to make your text more concise while preserving your intent
    • Change Tone to rewrite the text in a professional, empathetic, casual, neutral, or educational tone
    • Translate to convert your writing to one of several languages
    • And, for tasks, notes, and tickets, Summarize to consolidate the text while preserving the intent — especially useful after entering long notes from a call or meeting 

    How to Use AI Assist

    Getting started is simple:

    1. Type your email, task, note, or ticket description.
       
    2. Click the “AI Assist” button in the editor toolbar.



       
    3. Next, choose what you would like to do. You can improve the writing, summarize writing, fix spelling and grammar, make it shorter, change the tone, or translate the text.
       
    4. Select the action you want and click “Generate”.







       
    5. Review the suggestion and click “Accept and Replace” if satisfied.


       

    You can try multiple actions until you get the exact result you want.


    Available AI Actions:

    Improve Writing

    Refine your text using custom instructions.

    • Add instructions like:
      • “Make this clearer”
      • “Make it more persuasive”
      • “Simplify the email with bullet points”
    • Great for client emails, policy explanations, or internal notes



      Result:


    Summarize Writing

    Condense long content into a shorter, clear summary.

    • Available for tasks, notes, and tickets
    • Ideal after:
      • Client calls
      • Meeting notes
      • Long documentation



    Fix Spelling and Grammar

    Automatically corrects:

    • Spelling mistakes
    • Grammar issues
    • Punctuation errors

    Keeps your original tone and meaning intact—perfect for quick cleanups.



    Make Shorter

    Shortens your text while preserving the key message.

    • Removes unnecessary words
    • Keeps intent intact
    • Useful for:
      • Quick replies
      • Concise client updates




         

    Change Tone

    Rewrite your content to match the desired communication style.

    Available tone options:

    • Professional – Formal and business-ready
    • Empathetic – Supportive and understanding
    • Casual – Friendly and conversational
    • Neutral – Balanced and objective
    • Educational – Informative and explanatory

     Perfect for tailoring communication with clients, prospects, or internal teams.



    Translate

    Convert your text into multiple languages.

    Supported languages include:

    • English
    • Spanish
    • French
    • Korean
    • Chinese
    • Works on selected text or full content
    • Helps agencies communicate with diverse clients
