Agency Reports
1. Activities (Case Activity)
Purpose Provides an audit trail of all activity logged against cases within the agency. Intended Users Agency administrators, brokers who need to review case history and team activity. Key Data Activity type, description, date/time, user who performed the action, associated case/client name. Filters Date range, case, activity type and user who performed the activity. Output Excel (.xlsx). Notes Requires the Activities permission. Access may be restricted for lower-privilege users. 2. Compensation Disclosure Form (Group)
Purpose Generates compensation disclosure documents for group insurance cases, required for regulatory compliance in some states. Intended Users Brokers and compliance staff preparing disclosure documentation for group clients. Key Data Broker name, agency name, carrier, plan details, commission/compensation amounts, disclosure date, client name. Filters Case/client, effective date, carrier. Output Word (.docx). Notes Disclosure Required field is required for benefits to be included in form. 3. Contacts
Purpose Exports all contacts stored at the agency level (not case-specific contacts). Intended Users Agency administrators managing their contact database. Key Data Contact name, company, email, phone number(s), address, contact type. Filters Contact type, Company name, Contact custom fields Output Excel (.xlsx) 4. Client Service (Customer Service)
Purpose Multi-file service report that compiles all service-related data per client into individual Excel workbooks, packaged as a ZIP archive. Commonly sent as a periodic service summary. Intended Users Account managers preparing client service reviews or RFP responses. Key Data Per-client workbooks containing case info, benefit summaries, employee counts, commission history, and service notes. Filters Case/client selection, date range, data fields to include. Output ZIP archive containing individual Excel (.xlsx) files per client. Notes Generates asynchronously. A download link is provided via in-app notification and email upon completion. 5. Email Campaign Summary
Purpose Aggregate summary of email campaign performance across all campaigns. Intended Users Marketing staff and agency managers reviewing campaign effectiveness. Key Data Campaign name, date sent, received,status, total opened, open rate, total bounced, bounce rate. Filters Campaign name, Campaign status. Output Excel (.xlsx). 6. Email Campaign Sent Report
Purpose Line-level report of individual email sends within a campaign — who received each email, when it was sent, and delivery/engagement status. Intended Users Marketing staff and agency administrators reviewing campaign delivery at the recipient level. Key Data Campaign name, recipient name, recipient email, send date/time, delivery status (sent, bounced, failed), result. Filters Campaign name, contact type Output Excel (.xlsx). 7. Intulse Calls
Purpose Exports call records sourced from the Intulse telephony integration, including recordings where available. Intended Users Agencies using the Intulse phone system integration who need to audit or review call logs. Key Data Call date/time, duration, caller ID, associated contact, case, notes, recording link. Filters Date range, user, case/client. Output Excel (.xlsx). Notes Requires Intulse integration to be configured. Manage Intulse Calls permission required to delete records. 8. Users
Purpose Exports user account records for the agency — staff, brokers, and support users. Intended Users Agency administrators managing user access and auditing the user roster. Key Data First name, last name, email, role, location, active status, phone, license number, timezone, NAHU membership, created date, created by. Filters Role, location, active/inactive, NAHU membership, manager, created by. Output Excel (.xlsx). Notes Only accessible to users with user management permissions. Cases
1. Benefits
Purpose Lists all benefit records associated with cases/clients managed by the agency. Intended Users Brokers and agency staff managing benefit plan data across their book of business. Key Data Benefit plan name, carrier, coverage type, effective dates, associated case/employer, market segment. Filters Cases, Date range, carrier, coverage type, market segment. Output Excel (.xlsx). 2. Calls
Purpose Exports logged VoIP call records associated with cases and contacts. Intended Users Agency staff reviewing call activity for clients or tracking communication history. Key Data Call date/time, duration, direction (inbound/outbound), associated case/contact, call notes/outcome. Filters Date range, user, case/client. Output Excel (.xlsx). 3. Cases
Purpose The core case/client export. Lists all cases in the agency with key case details. The most widely used report for CRM-style exports. Intended Users All agency users with case access. Key Data Case name, Case ID, market segment, status, effective date, renewal date, employees count employees, carriers, coverage types, address, phone. Filters Status, Case name, market segment, Broker of record, date range (effective, renewal, created), tags, location, custom fields. Output Excel (.xlsx). 4. Case Associations
Purpose Reports on relationships between cases (e.g., parent/child linkages, affiliated entities). Intended Users Agency staff managing complex multi-entity or affiliated group structures. Key Data Case name, associated case name, association type, address. Filters Sales Status, Case name date range. Output Excel (.xlsx). 5. Case Contacts
Purpose Exports contact people records linked to cases — benefits administrators, decision-makers, etc. Intended Users Account managers and brokers who need a list of their key contacts per case. Key Data Contact name, title, email, phone, associated case/employer, contact role/type, address. Filters Case, contact type, date added. Output Excel (.xlsx). 6. Dependents
Purpose Lists all dependents in the agency with key details. Intended Users Brokers and benefits administrators tracking dependents enrollment data. Key Data Dependent name, associated case, relationship to primary, date of birth. Filters Case, Sales status, Coverage type, Date range, Dependents. Output Excel (.xlsx). 7. Employees
Purpose Lists all employees in the agency with key details. Intended Users Brokers and benefits administrators tracking employees enrollment data. Key Data Employee name, Group information, Date of birth. Filters Case, Sales status, Coverage type, Date range, Employees. Output Excel (.xlsx). 8. Employees Eligibility
Purpose Lists all employees eligible for benefits in a selected date range. Intended Users Brokers and benefits administrators tracking employees enrollment data. Key Data Employee name, Group information, Date of birth. Filters Case, Sales status, Benefits, Eligibility Period. Output Excel (.xlsx). 9. Projected Revenue
Purpose Forward-looking revenue projection based on active cases and their expected commission income. Intended Users Agency owners and finance staff forecasting commission income. Key Data Case/client name, carrier, current annual commission, projected annual commission, renewal date, broker, market segment. Filters Date range (projection window), broker, carrier, market segment. Output Excel (.xlsx) 10. Sales Status Changes
Purpose Tracks changes to the sales/case status field over time, providing a history of pipeline movement. Intended Users Sales managers and brokers monitoring deal progression and pipeline velocity. Key Data Case/prospect name, old status, new status, date of change, changed by, time in prior status. Filters Date range, status (from/to), broker, market segment. Output Excel (.xlsx) Commissions
1. Carrier Overview
Purpose Summary of commissions received organized by carrier statement. Intended Users Brokers, agency owners, and finance staff reconciling carrier payments. Leadership and finance staff wanting a high-level carrier statement breakdown. Key Data Carrier name, date received, premiums, commissions, and number of cases paid. Filters Date range and carriers. Output Excel (.xlsx). Notes Requires the Commissions permission. 2. Commissions
Purpose Detailed report of all commission records received from carriers, broken down per policy/case. The primary report for commission income tracking. Intended Users Brokers, agency owners, and finance staff reconciling carrier payments. Key Data Client/case name, carrier, policy number, coverage type, effective date, paid date, premium, commission rate, commission amount, payment frequency, market segment. Filters Date range (paid date or effective date), carrier, market segment, coverage type, payment frequency, expected annual commission range, tags. Output Excel (.xlsx) — supports a column-level template to customize which fields appear. Notes Requires the Commissions permission. Writing Brokers may only see commissions on their own cases. 3. Commission History
Purpose Multi-period variance trending report showing commission fluctuations over time. Intended Users Finance and leadership teams tracking commission trends across multiple periods. Key Data Case/client name, carrier, commission by period (multiple columns), total variance, trend direction. Filters Date range span, carrier, market segment. Output Excel (.xlsx). Notes Only accessible to users with user management permissions. 4. Last Paid
Purpose Shows the most recent commission payment date for each client/case. Useful for identifying cases that may have lapsed or have delayed payments. Intended Users Finance staff and brokers monitoring commission payment currency. Key Data Case/client name, carrier, last paid date, last paid amount, expected payment frequency. Filters Carrier, date range, writing broker. Output Excel (.xlsx) Notes Requires the Commissions permission. 5. Reconciliation
Purpose Reconciliation report comparing expected commission amounts against actual amounts received, highlighting discrepancies. Intended Users Finance staff performing monthly or quarterly commission reconciliation. Key Data Case/client name, carrier, expected commission, received commission, variance amount, period, policy number. Filters Date range, carrier, market segment. Output Excel (.xlsx) Notes Requires the Commissions permission. 6. Sub-Agents Commissions
Purpose Detailed breakdown of commission splits paid out to sub-agents. Intended Users Finance staff processing sub-agent payments. Key Data Sub-agent name, case/client, carrier, gross commission, split percentage, sub-agent payable amount, paid date. Filters Sub-agent, date range, carrier. Output Excel (.xlsx). Notes Requires the Commissions permission. Can be ran as a consolidated report or individual sub-agent reports. 7. Sub-Agents Splits
Purpose Detailed report of commission split arrangements, showing how commissions are divided between sub-agents and agencies. Intended Users Finance staff and agency owners reconciling split payments. Key Data Case name, carrier, split recipient name, split percentage, split dollar amount, paid date. Filters Date range, carrier, writing broker, sub-agent, market segment. Output Excel (.xlsx). Notes Requires commission access. Generates asynchronously for large datasets. 8. Sub-Agents Statements
Purpose Generates individual commission statement documents for sub-agents, distributed monthly or per-pay period. Intended Users Finance staff generating and distributing sub-agent pay statements. Key Data Sub-agent name, period, itemized commissions per case/carrier, total earnings, split details. Filters Sub-agent, Carriers. Output PDF per sub-agent; multiple statements bundled into a ZIP archive. Notes Requires the Commissions permission. Generates asynchronously. 9. Unpaid Commission
Purpose Identifies clients/cases where commission payments have not been received or are overdue based on expected payment schedules. Intended Users Finance staff chasing missing commission payments from carriers. Key Data Case/client name, carrier, expected payment date, amount expected, days overdue, last paid date, policy number. Filters Carrier, Benefit details, market segment. Output Excel (.xlsx). Notes Requires the Commissions permission. 10. Variance to Expected
Purpose Compares actual commission received against the expected/budgeted amount, highlighting over- and under-payments. Intended Users Finance staff and agency owners performing commission variance analysis. Key Data Case/client name, carrier, expected amount, actual received, variance (dollar and percent), period. Purpose Compares current period commissions against the prior period, showing growth or decline. Intended Users Agency management performing period-over-period financial analysis. 1. Broker of Record (BoR) Summary
Purpose Summarizes cases by their Broker of Record, showing commission and case counts per broker. Intended Users Agency owners and administrators reviewing broker production. Key Data Broker name, number of cases, total premium, total/sub-agent commission. Filters Date range, broker/user, Benefit details. Output Excel (.xlsx). Notes Requires the Commissions permission. 2. Carrier Summary
Purpose Condensed carrier-level summary with key financial metrics aggregated per carrier. Intended Users Leadership and finance teams wanting a high-level carrier breakdown. Key Data Carrier name, total policies, total premium, total/sub-agent commission. Filters Date range, carrier, Benefit details. Output Excel (.xlsx). Notes Requires the Commissions permission. 3. Client Summary
Purpose Summary-level commission report rolled up per client, showing total commissions received per case over a period. Intended Users Agency owners and brokers wanting a client-by-client commission overview without line-item detail. Key Data Client/case name, carrier(s),total/sub-agent commission, total commission. Purpose Condensed benefit-level summary with key financial metrics aggregated per product. Intended Users Leadership and finance teams wanting a high-level carrier breakdown. Purpose Shows total commission revenue generated per client/case over a specified period. Intended Users Agency owners and brokers reviewing client profitability and revenue contribution. Key Data Client/case name, total commission received, number of active policies, carriers, market segment. Filters Date range, broker, market segment, carrier. Output Excel (.xlsx). Notes Requires the Commissions permission. 6. Revenue per Client per Year
Purpose Year-by-year revenue breakdown per client, enabling multi-year trend analysis. Intended Users Agency owners performing annual business reviews or preparing for client renewals. Key Data Client/case name, commission by year (one column per year), total lifetime commissions. Filters Year range, broker, market segment. Output Excel (.xlsx). Notes Requires the Commissions permission. 7. Sub-Agents Summary
Purpose High-level summary of each sub-agent's production metrics — case counts, premium volume, and commission totals. Intended Users Agency owners reviewing sub-agent performance. Key Data Sub-agent name, number of cases, total premium, total commission, active cases, markets served. Filters Date range, market segment, state. Output Excel (.xlsx). Notes Requires the Commissions permission. 8. Sub-Agency Summary
Purpose Rollup summary at the sub-agency level, for when sub-agents are organized into sub-agency groups. Intended Users Agency owners managing relationships with downstream agencies. Key Data Sub-agency name, number of sub-agents, total cases, total premium, total commission, period. Filters Date range, market segment. Output Excel (.xlsx). 1. Carrier
Purpose Exports carrier profile data for all carriers in the agency's carrier list. Intended Users Agency staff who need an export of carrier contact and configuration data. Key Data Carrier name, Carrier details, state availability, product lines offered, state. Filters Carrier status, state. Output Excel (.xlsx). 2. Enrollment Kits
Purpose Reports on enrollment kit creation, delivery, and completion status across cases. Intended Users Brokers and enrollment coordinators tracking kit distribution during open enrollment. Key Data Kit name, associated case/employer, status, carrier, date created, date sent, date completed, assigned broker. Filters Case, status, carrier, date range. Output Excel (.xlsx). Notes Requires the Enrollment Kits permission. 3. Proposals
Purpose Exports proposal records created for prospects and clients, including status and key terms. Intended Users Sales brokers and account managers tracking quote/proposal pipeline. Key Data Proposal name, associated case/prospect, carrier(s), plan(s), status, created date,assigned broker. Filters Status, date range, broker, carrier. Output Excel (.xlsx). Notes Requires the Quotes permission. 4. Sales Team
Purpose Reports on sales activity and case assignments by sales team member. Intended Users Sales managers reviewing team performance and case distribution. Key Data Team member name, role, cases assigned, cases closed, total premium, total commission, period. Filters Case details, Benefit details. Output Excel (.xlsx). 5. Sub-Agents
Purpose Full export of sub-agent profile records. Intended Users Agency administrators and owners maintaining their sub-agent roster. Key Data Sub-agent full name,license info, contact info, address. Filters Status, state, market segment. Output Excel (.xlsx) 6. Sub-Agents Carrier/Products
Purpose Reports on which carriers and products are associated with sub-agent cases. Intended Users Agency owners and sub-agent managers reviewing sub-agent production by carrier/product. Key Data Sub-agent name, carrier, product/plan type, number of cases, total premium, total commission. Filters Sub-agent, carrier, product type, date range. Output Excel (.xlsx) 7. Sub-Agents Contacts
Purpose Exports contact information for sub-agents associated with the agency. Intended Users Agency administrators managing their sub-agent network. Key Data Sub-agent name, agency name, contact email, phone, address, state licenses, associated cases count. Filters State, active/inactive status. Output Excel (.xlsx) Tasks, Tickets, and Notes
1. Case Tasks
Purpose Tasks scoped specifically to individual cases. Intended Users Account managers reviewing task activity on specific cases. Key Data Task title, description, status, due date, assigned to, created by, case name, case status, priority, completed date. Filters Case, status, due date range, assigned to. Output Excel (.xlsx) 2. Checklists
Purpose Exports checklist completion data associated with cases, showing which items have been completed and by whom. Intended Users Operations staff tracking onboarding, renewal, or compliance checklist progress. Key Data Case name, checklist name, item description, completion status, completed by, completion date. Filters Case, checklist type, completion status, date range. Output Excel (.xlsx) 3. Notes
Purpose Exports note records associated with cases and contacts. Intended Users Account managers and brokers reviewing communication history or preparing for client meetings. Key Data Note title, content/body, associated case/contact, created by, created date, reminder date, category/type. Filters Case, date range, created by, note type. Output Excel (.xlsx) 4. Sub-Agents Tasks
Purpose Tasks associated with sub-agents or assigned to sub-agent users. Intended Users Agency staff tracking tasks related to sub-agent relationships and onboarding. Key Data Task title, sub-agent name, status, due date, assigned to, created by, completed date. Filters Sub-agent, status, due date range. Output Excel (.xlsx) 5. Task History
Purpose Historical log of task changes and completions, providing an audit trail for task lifecycle events. Intended Users Operations and compliance staff reviewing task history for accountability. Key Data Task title, event type (created, updated, completed, reassigned), date/time, performed by, associated case. Filters Date range, user, case, event type. Output Excel (.xlsx) 6. Tickets
Purpose Exports support ticket records — internal or client-facing requests tracked through the ticketing system. Intended Users Customer service staff and managers reviewing open and closed support items. Key Data Ticket title, description, status, priority, created date, due date, assigned to, associated case/client, resolved date. Filters Status, priority, assigned to, date range, case. Output Excel (.xlsx) 7. Workflow Activities
Purpose Reports on workflow automation activity — which workflows triggered, which tasks were auto-created, and their completion status. Intended Users Operations staff and administrators monitoring workflow performance. Key Data Workflow name, trigger event, triggered date, associated case, tasks created, tasks completed, status. How Reports Are Generated
Reports use a two-tier generation model:
Synchronous (small datasets): The report generates immediately when you click Run and downloads directly.
Asynchronous (large datasets or multi-file reports): The report is queued as a background job. You will receive an in-app notification and email with a download link when the file is ready. Only one report of a given type can run at a time — you can cancel an in-progress report from the Reports page.
Saving Report Templates
Any report configuration (column selection + filters) can be saved as a named template. Saved templates appear in the report tab for quick re-use and are shared across all users within the same agency. Templates can be edited, duplicated, and deleted.

The Sub-Agent Statements report is available under the Commissions section of the Reports. This report is designed to simplify the process of generating commission statements for sub-agents.

Your agency logo on the statement report:
Your agency logo will appear on the statement report. To add or update your logo, please go to your agency profile.
1. Clicking on your profile picture > View Profile.
2. Click on 'Edit Agency Profile'.
3. Click on the picture and upload your agency logo.

We will use the Cases report as an example to explain to you how NextAgency reports work. To generate a report with specific data related to clients:
- On the Cases tab, click Create.
- The system will suggest that you select the fields which you want to export. The fields are color-coded and divided into several groups: Case Info, Status Info, System Info, and Case Custom Info.
- From the above screenshot, we have selected to export the data related to the case info only.
- It is also possible to save these fields as a template. In the upper-right corner of the page, click Save as Template, enter the name of the template, and then click Save. The report will appear in the list. You can also hit Run on this page to generate the Report.
- To save this report as an Excel file, click Actions > Run.
6. It is also possible to create a copy of the report. To do it, click Actions > Copy Report.
The copy will appear in the list.
To remove the report or report template, click Actions > Delete, and then click Yes in the confirmation dialog.
Let's create another example report on Unpaid commissions. Follow these steps:- Under Commissions, click on Unpaid Reports.
- Click the Create button.
- Select the fields that you wanted to have in the report.
- If needed, customize the columns by dragging them to change their order or adding empty columns.
- When ready, you can save the report as a template to use in the future. You can click on Run to generate the Report.
