When a plan year ends, you don't have to re-enter a case's benefits. Renewing a benefit creates next year's benefit for you: NextAgency copies it into a new benefit with its dates moved forward one year, and keeps this year's benefit as it is, so the case keeps a record of every plan year.

There are four ways to roll a benefit into the next plan year:

Renew several benefits at once
To renew several of one case's benefits, use the case's Benefits tab. To renew benefits on several cases at once, see Renew benefits for several cases at once below.
- Open the case and go to the Benefits tab.
- Select the checkbox next to each benefit you want to renew. To select every benefit in the list, use the checkbox in the header row.
- Click Bulk Actions, then Renew.
- In the Renew Selected Benefits window, choose which tabs to copy to the new benefits: Contribution, Rates, Files and Notes. All four are selected to start.
- Click Renew.
The renewal runs in the background, so you can keep working. When it finishes, you'll get a notification such as 2 benefits renewed successfully.
What renewing does
- Each selected benefit gets a new benefit for the next plan year. The new benefit's effective and renewal dates are one year later than the original's, and it has no termination date.
- If a benefit has no effective date or no renewal date, the new benefit's effective date is set to one year from today, and its renewal date to two years from today.
- The original benefit stays on the case with its dates unchanged.
- Both benefits get their Status from their dates: Current, Future or Past. Each benefit's Auto Update setting stays as it was.
Finding the new benefits
The Benefits tab shows Current benefits to start, and the new benefits begin next plan year, so they're marked Future. Set Status to Future to see just the renewed benefits, or to All to see both plan years side by side.
If a benefit was already renewed
If next year's copy of a selected benefit already exists, the Renew Selected Benefits window lists it and asks whether you'd like to duplicate it.
- Leave Yes, duplicate the already renewed benefit unchecked to skip those benefits. The rest of your selection is renewed as usual.
- Check it to renew those benefits again anyway.
- If every benefit you selected has already been renewed, the Renew button stays unavailable until you check the box.
Renew benefits for several cases at once
- Go to the Cases/Policies page and make sure Policy View is selected, so each benefit has its own row.
- Find the benefits you want to renew. Search for the cases, or use Filters.
- Select the checkbox next to each benefit you want to renew, from as many cases as you need.
- Click Bulk Actions, then Renew (under Case).
- In the Renew Selected Benefits window, choose which tabs to copy and click Renew.
The renewal runs in the background, the same as on a case's Benefits tab. When it finishes, each case has its new benefit for the next plan year.
Renew a single benefit
- On the case's Benefits tab, click Actions on the benefit's row, then Renew.
- Choose which tabs to copy to the renewed benefit: Contribution, Rates, Files and Notes.
- Click Save.
The renewed benefit's effective and renewal dates are advanced one year, the same as a bulk renewal.
Update the dates instead of renewing
Renewing keeps each plan year as its own benefit. If you'd rather move the existing benefits to new dates, use Update Dates instead.
- Select the benefits, then click Bulk Actions > Update Dates.
- Choose which dates to change with the Effective date and Renewal date checkboxes, and enter the new dates. To set a date to N/A, click Clear next to it.
- To keep a record of the old dates, check Leave a past copy of the current benefit.
- Leave Auto Update checked to set each benefit's Status from its new dates. This replaces the benefit's current Status.
- Click Update.
Common questions
Why don't I see the renewed benefits? The Benefits tab shows Current benefits to start. Renewed benefits begin next plan year, so they're Future. Set Status to Future or All.
Will renewing change this year's benefit? No. The original keeps its dates. If its Auto Update setting is on, its Status follows those dates, so it moves to Past once its renewal date has passed.
Can I renew benefits for more than one case at a time? Yes. On the Cases/Policies page in Policy View, select the benefits and choose Bulk Actions > Renew. See Renew benefits for several cases at once.
